Case study: Tourism & CRM

A custom CRM to manage 5,000 travel bookings a month.

We built a custom business tool to centralise bookings, automate invoicing, manage suppliers, track sales teams and run operations from one platform.

Context

The client operates in the travel booking sector.

Each month, the business handles an average of 5,000 bookings involving activities, transfers, suppliers, clients and transport providers.

Before the project, the team used an off-the-shelf CRM that no longer met its needs. Bookings required manual processing, invoicing was time-consuming and the system's limitations made certain business-specific features impossible to implement.

The challenge

An off-the-shelf CRM the business had outgrown.

The old system forced the business to work around its limitations. Its API was outdated, room for development was limited, and every new requirement was difficult, if not impossible, to implement.

The team spent around 5 minutes processing each booking. With thousands of bookings a month, this created a substantial operational workload.

The accountant also handled invoices manually. Data was spread across several tools, leaving the business without a clear view of margins, costs, sales performance or operations.

Business-specific features out of reach

Solution

A purpose-built CRM for day-to-day operations.

We developed a custom platform to centralise bookings, automate repetitive tasks and give each team a workspace tailored to its role.

The goal was more than replacing a CRM. It was to build a complete operational tool covering bookings, invoicing, transport, suppliers, sales teams, margins, KPIs and the catalogue.

Modules we built

Ten modules built for real-world operations.

Bulk CSV import

The team can import CSV files containing hundreds or thousands of bookings. Work that used to take hours can now be processed in minutes.

Booking management

Bookings are held in a single system, alongside details of activities, transfers, clients, suppliers and operational status.

Automated invoicing

The accountant can generate invoices in just a few steps, even across large booking volumes and multiple clients.

Transport provider management

The system automatically sends transport providers the van, car or bus requirements for each booking.

Supplier management

Suppliers can be contacted and managed directly from the platform.

Sales team portal

Sales representatives can log in to track their targets, review performance and see their commissions.

Cost and margin tracking

The business can track costs, margins and key metrics to make better operational decisions.

Dashboards & KPIs

Dashboards bring key business data into view to support better decisions.

Online catalogue

The client can manage its activity and product catalogue from a single interface.

Custom ticketing

A dedicated feature handles specific ticket products through a tailored email workflow, something the previous CRM could not support.

The difference

Before and after.

Before

  • An off-the-shelf CRM that was hard to adapt
  • Around 5 minutes of processing per booking
  • Largely manual invoicing
  • Data scattered across multiple tools
  • An outdated, limited API
  • Business requirements the system could not support
  • Little visibility into margins, costs and performance

After

  • A purpose-built CRM for real workflows
  • CSV imports that process large volumes in minutes
  • Automated invoicing
  • Dedicated modules for transport providers, suppliers and sales teams
  • Centralised KPIs
  • A flexible platform that adapts to new needs
Results

Significant time savings across operations.

With the old system, each booking took around 5 minutes of manual work. Today, the team can import a CSV with thousands of rows and process large volumes in minutes.

At an average of 5,000 bookings a month, the operational impact is substantial: less manual entry, less repetition, less dependence on external tools and more time to run the business.

Invoicing is also much faster. The accountant can generate invoices in a few steps instead of processing them manually, one by one.

The business is no longer locked into a closed ecosystem. New features can be added as its needs evolve.

Faster booking processing

CSV imports turn hours of manual data entry into minutes of processing.

Simpler invoicing

The accountant generates invoices in a few steps, regardless of volume.

Less vendor dependence

The business is no longer held back by a closed ecosystem or a limited API.

Tailored workflows

Each module is designed around the company's day-to-day operations.

Better visibility

Margins, costs, sales teams and KPIs in a single interface.
